So the best preparation is simple: know the fundamentals well enough to say them in your own words. Basic SAP FICO interview questions
Q1. What is SAP FICO?
SAP FICO is the finance module of SAP. It has two parts. FI (Financial Accounting) records financial transactions and produces external reports such as the balance sheet and profit and loss statement. CO (Controlling) handles internal cost tracking and profitability, helping managers see where money is spent. Together they cover both the official accounts and internal decision-making.
Q2. What is the difference between FI and CO?
FI is for external reporting to tax authorities, auditors, and shareholders, and it follows strict legal rules. CO is for internal reporting that helps managers control costs and measure profitability. A simple way to say it in an interview: FI is the story a company tells the outside world, and CO is the story it tells itself to improve.
Q3. What are the main sub-modules of SAP FI?
The main sub-modules are General Ledger (G/L), Accounts Payable (AP), Accounts Receivable (AR), Asset Accounting (AA), and Bank Accounting. The General Ledger is the central record, and the others handle vendors, customers, fixed assets, and bank transactions.
Q4. Do you need coding knowledge for SAP FICO?
No. FICO is a functional module, not a technical one, so it does not require programming. A good understanding of accounting concepts is far more valuable. The technical side of SAP is handled by ABAP developers, not FICO consultants.
Organisational structure questions
Q5. What is a company code in SAP?
A company code represents a single legal entity for which a complete, balanced set of accounts is prepared, including the balance sheet and profit and loss statement. It is the most important organisational unit in FI, and most financial settings are configured at the company code level.
Q6. What is the difference between a company and a company code?
A company is used mainly for consolidation and can group several company codes together. A company code is a single legal entity that produces its own financial statements. In short, one company can contain multiple company codes.
Q7. What is a chart of accounts?
A chart of accounts is the complete list of General Ledger accounts a company uses to classify its transactions. It is created once and can be assigned to one or more company codes, which lets companies in the same group share a common account structure.
Q8. What is a fiscal year variant?
A fiscal year variant defines the financial year and its posting periods. It sets how many periods exist, typically twelve normal periods plus up to four special periods used for year-end adjustments, and defines when the financial year starts and ends.
Q9. What is a business area?
A business area is an optional organisational unit used to prepare financial reports for segments or divisions of a company. It can cut across company codes, which makes it useful for reporting by line of business rather than by legal entity.
Concept-based questions
Q10. What is a posting key?
A posting key is a two-digit code that controls how a line item is posted. It decides whether the item is a debit or a credit, which account type it applies to (vendor, customer, G/L, or asset), and which fields appear during entry. For example, posting key 40 is a G/L debit and 50 is a G/L credit.
Q11. What is a reconciliation account?
A reconciliation account is a General Ledger account that connects sub-ledgers to the G/L. When you post to a vendor or customer (a sub-ledger), the amount automatically updates the linked reconciliation account in the General Ledger, so the two always stay in balance. You cannot post to it directly.
Q12. What is the difference between Accounts Payable and Accounts Receivable?
Accounts Payable (AP) deals with money the company owes to its vendors and suppliers. Accounts Receivable (AR) deals with money customers owe to the company. AP is about paying, AR is about collecting.
Q13. What is a document type in SAP?
A document type is a two-character key that classifies the kind of accounting document being posted, such as a vendor invoice, customer invoice, or G/L entry. It controls things like the number range for the document and which account types are allowed.
Q14. What is a special G/L transaction?
A special G/L transaction is a posting to a customer or vendor that is shown separately from normal transactions, such as down payments or guarantees. It uses a different reconciliation account so these special items do not mix with regular payables or receivables.
Q15. What is field status group?
A field status group controls which fields are shown, hidden, required, or optional when you post to a G/L account. It keeps data entry consistent by making sure the right fields are filled for each type of account.
